This policy explains how cancellations, refunds, and rescheduling work for GAMCA/Wafid token bookings in 2025. We prioritize rescheduling before canceling to keep your spot active at the GCC medical center. If you need to stop a request, follow the steps below so we can verify details quickly.
Refund rules
Refunds are only assessed before the Wafid token is generated. Once a QR slip is issued, coordination and portal charges are consumed because the service has been delivered.
Gateway deductions (if any) are netted off before refunding an eligible request.
Duplicate payments or portal failures are investigated using your transaction proof. Clinic medical fees are paid onsite and remain outside this policy.
Rescheduling rules
If your travel date shifts, request a new slot before the clinic cutoff. We reschedule once without an additional coordination fee.
Missed appointments or late arrivals may require a new token per clinic policy. Always message us early if traffic or flights are delayed.

- Share your full name, passport number, and destination country.

- Mention whether the token QR slip is issued or still pending.
- Attach payment proof and reason for cancellation or reschedule.
- State if you prefer a refund review or a new date/time for rescheduling.

Processing timeline
Eligible refunds: 7–10 working days after approval, subject to your bank or card provider.
Reschedules: typically confirmed within 30–60 minutes during working hours once a new slot is chosen.
If you are traveling for Saudi Arabia or Qatar routes, tell us your flight window so we align the reporting time.
Refund expectations
Approved refunds are sent using the same channel (card/bank). Processing speed depends on your bank’s settlement cycle and may be slower for cross-border cards.
Keep receipts for your records. If you later rebook, we reuse verified documents to avoid repeat checks and keep your timeline short.

You can request cancellation before the Wafid token is generated. After issuance, coordination and portal fees are consumed because the QR slip is produced. If you have already received the slip, rescheduling is usually the better option.
